Refund & Cancellation Policy

Fees pay for our time and committed capacity, so once work has started on something, that fee is generally non-refundable. What you can always do is reschedule a session with 24 hours' notice, or cancel a retainer's future renewal in writing. The specifics for each type of engagement are below.
01. The short version
We're a small team, and once we've committed time to your engagement, that capacity is spent whether or not you continue. That's the reasoning behind almost everything below: fees become non-refundable once the work or billing period they cover has actually started, not before.
What we can always do is move a session, and any SOW can set its own terms that override this general policy.
02. Professional services
Fees pay for dedicated time, analysis, architecture, and delivery capacity, not just a deliverable at the end. Once a service period has started, the fee for that period is non-refundable.
Payment schedules, milestones, and any cancellation terms specific to your engagement are set out in your Statement of Work, which takes precedence over this general policy.
03. AI & Systems Assessment
The $499 assessment covers a mapping session, our analysis between sessions, and a findings walkthrough, ending in a written document that's yours to keep either way.
Once a booking is confirmed, the fee is non-refundable. You can reschedule either session with at least 24 hours' notice. A late cancellation or a missed session is treated as capacity we'd already committed, so it isn't refunded.
04. Software engineering milestones
Custom builds are delivered against milestones set out in your SOW. Once a milestone or phase has started, its payment is non-refundable unless the SOW says otherwise, since that payment reflects work and capacity we've already committed to your build.
The SOW is the controlling document for anything project-specific.
05. Monthly retainers
A retainer reserves ongoing capacity for maintenance, support, or continued engineering. It's billed in advance for each cycle and becomes non-refundable once that cycle starts.
You can cancel a future renewal with written notice before the next billing cycle begins. Cancelling doesn't refund the current paid period or waive obligations already incurred under the agreement.
06. Rescheduling & delays
Priorities shift, and we plan for that:
- Assessment and advisory sessions can be rescheduled with at least 24 hours' notice.
- A project pause can be requested in writing, subject to your SOW.
- If a delay is on your end (missing information, access, or approvals), it moves the delivery date but doesn't create a right to a refund on its own.
07. If you cancel
If you stop an active engagement partway through, fees for completed work, committed capacity, or the current billing period remain payable unless your agreement says otherwise. Any cancellation terms in a signed SOW take precedence over this general policy.
