Lending Operations Platform
A loan management system built for a lending business that had outgrown spreadsheets, phone calls and memory as the way it ran the loan book. One system, from lead to closure, with a complete audit trail at every step.
A lending business · name withheld by agreement
Every step worked. Nothing was one system.
The problem wasn't effort. It was that no single system carried a loan from lead to closure. The cost sat in the gaps between the steps:
- Applications moved through verification by hand.
- Field collections ran on phone calls and memory.
- Receipts were checked manually.
- Payments were reconciled against bank credits infrequently, by hand.
- Staff attendance and payroll sat in separate, disconnected records.
- Management had no single, real-time picture of the loan book.
Too much depended on people remembering, following up, and moving information from one place to another.
One system, lead to closure
Lead
Capture and qualify leads.
Application
Digital applications with verification.
Approval
The lender still approves every loan after their own due diligence. The system supports that decision. It doesn't make it.
Disbursement
Approved loans recorded securely.
Repayment
Scheduled repayments tracked against the loan record.
Collection
Daily collections by field staff, with real-time updates from the field.
Reconciliation
Payments auto-matched against bank credits and receipts, every day.
Closure
Loans closed with a complete audit trail from application to closure.
We did not start by asking what software to build
We started by understanding how the operation actually worked: where things waited, who chased what, which information was carried between systems by a person instead of a system. Then we built around that, rather than asking the business to reorganise itself around a product.
One connected platform, ten working parts
Borrower management
A 360° view per borrower. KYC, documents and full history in one record instead of fragments across spreadsheets and inboxes.
Field collections
Field staff plan, visit, collect and update instantly. The office sees it as it happens, not at the end of the week.
Receipt & OCR
Receipts are uploaded and read automatically, verified and recorded without manual re-keying.
Payment ledger
An append-only, immutable ledger. The question 'has this actually been paid' has one answer, permanently.
Borrower self-service
A WhatsApp bot handles balance, due dates and receipts directly, so a large share of inbound calls never happen at all.
Bank reconciliation
Credits are auto-matched daily and gaps are flagged automatically. The book stays settlement-ready instead of catching up once a week.
Staff & attendance
Biometric, location-based attendance feeds shifts and performance directly, rather than being reconstructed monthly from notes.
Payroll
Salaries, incentives, ESI/PF and payouts run from the same system of record as attendance, not a separate spreadsheet.
Reports
Collection, ageing, NPA and business reports generated from live data instead of assembled by hand for each review.
Audit & security
Role-based access, encryption and a complete audit trail. Every action logged, every record verifiable.
Reconciliation went from weekly guesswork to daily fact
Before, payments were matched against bank credits by hand, whenever someone had time. Now it happens automatically, every day, and any gap shows up the same day it appears instead of at month end.
One thing we deliberately didn't change: loan approval. The lender still reviews and signs off on every application after their own due diligence. The system gives them what they need to decide faster. It was never going to make the decision for them, and it shouldn't.
Manual, ad hoc, and behind by the time anyone looked at it.
Automatic and daily. The book stays current on its own.
